Date Move - TimeMaker’s Concept

All Tasks are assigned by an Owner to a Performer with a date for completion called a Target Date. At times, the Performer cannot complete the assigned Task by the Target Date. When this occurs, the Performer requests a Date Move to allow more time for completion of the Task.

To request a Date Move, the Performer clicks on the button http://images.timemaker.org/a/5.gif. If the Task was assigned by an Owner other than the Performer, the Owner will receive the Date Move request. The Task remains in the Performer’s Inbox at the original Target Date until either accepted or rejected by the Owner of the Task.

When received by the Owner of the Task, the Date Move can be accepted or rejected. If accepted, the Task moves in the in the Performer’s Inbox in accordance with the newly approved Target Date. If rejected, the Task must be completed by the Performer prior to expiration of the original Target Date. If the Task was assigned by the Performer to him or her self (meaning, the Performer is also the Owner), the Date Move is automatically approved.

The number of Date Move requests permitted by a Performer can be uniquely established based on the desires of the organization. For example, Date Move requests associated with any particular Task can be limited to two requests, or for a maximum period of ten days, or both. Any Date Move request exceeding the established limit must be directed to the Performer’s senior for approval.

When a Performer requires a Date Move that exceeds the limits established by the organization, the Performer must request authorization for the Date Move from his senior or other designated person by clicking on the button . Upon clicking the Authorize Move button, the request for the Date Move must be directed to the designated person for approval. When this is done, the request will be received by the senior or other designated person and that person can either Accept or Reject the Date Move request.

When a Task is assigned by a junior to a senior with a specified Target Date, the senior can bypass the system and authorize Date Moves as needed.

When a Target Date has been changed, a banner across the top of the Task window advises on the number of Date Moves and the total number of days the Task is behind the original Target Date.

TimeMaker’s Statistics Module automatically collects and presents performance data in statistical charts, including data on Date Moves by Performer, Owner, work department or division, etc. These charts allow executive assessment by direct observation of productivity and the ability to spot areas needing improvement.

The advantages of this system are many, including i) Higher motivation of Performers to complete their Task cycles on a timely basis, ii) Immediate notification when Tasks are not completed within the scheduled Target Date and iii) statistical analysis of those Performers continuously not completing their Tasks on a timely basis which serves as an indicator for inspection and action - Is the Performer a poor employee? Is the Performer’s workload too extensive? Is there an out-point in the area in which the Performer works, preventing him or her from completing Tasks timely?

The ability to effectively handle less than optimal performance derives from the ability to quickly and easily spot problem areas. This is the primary benefit provided by TimeMaker’s Date Move system.
